Email scanning policy

We have enabled MailScanner on our email gateway mail.yourclearwave.com. This will have an effect on the email you receive and its appearance. Please read the following information carefully. Please contact 1-877552-9283 if you experience any questions or problems.

Why was this necessary?

Email is a popular way for dangerous viruses and worms to propagate across the internet. These attacks pose a serious threat to our systems and our ability to conduct business as normal. All of us need to be vigilant against these threats and all forms of systems security breaches.

 

Spam is a growing annoyance and the cost of receiving, storing and deleting spam is waste of our resources.

Is Virus Scanning Enabled at mail.yourclearwave.com?

We use the ClamAV and BitDefender virus scanning software on our email gateway to scan all incoming e-mails; this scan should delete any infected attachments or dangerous HTML code from your mail. This process should catch all viruses, but may delay e-mail delivery during virus or worm attacks.

NOTE: Virus scanning does not replace the need for you to run up to date virus protection software on your workstation or desktop, but supplements that protection. What things does the MailScanner on mail.yourclearwave.com filter out?

  1. What it filters out are viruses and worms!
  2. It also filters out attachments with files names that have multiple periods in the name. There are many viruses that try to get people to open them by using a technique called double extensions, like .doc.exe. Some email clients only show the first extension, and people would open the attachment thinking it was a word document, when in fact it is an executable virus. So use underscores or dashes to separate the words in the names of documents.

  1. It filters out attachments with the following extensions: .exe, .pif, .scr, .bat, .ceo, .reg, .chm, .cnf, .hta, .ins, .jse, .lnk, .scf, .mad, .maf, .mag, .mam, .maq, .mar, .mas, .mat, .mav, .maw, .sct, .shb, .shs, .vbe, .vbs, .wsc, .wsf, .wsh, .xnk, .com, .cmd, .cpl, .mhtml
  2. It will filter out filenames with a lot of contiguous spaces in the name.
  3. It will filter out HTML that contains what it considers malicious tags, such as <Frame> or <Object Codebase=...> tags. Please note: this may change the appearance of some emails you receive.

What if I need to send an attachment with one of the denied extensions?

You have two options. You can zip up the file so that it has a .zip extension, and the person receiving the attachment can unzip the file and end up with the original file with the original extensions. The other option is to rename the file so that it doesn't have the denied extension and just tell the person on the other end to rename it with the original extension when they receive it.  Please note that zipped files are still scanned for viruses.

Any mail that is known to be spam will initially be rejected so you should see a significant reduction in the amount of spam you receive.

 

Additional policies regarding possible spam and other unwanted mail may be implemented in the future to control other types of unsolicited email as needs arise.
